Email Import
Automatically process documents by forwarding emails with attachments to your project's dedicated email address.
Setup
Enable Email Import
- Navigate to Project Settings → Import
- Toggle "Allow import via email"
- Copy your project's dedicated email address
Dedicated Email Address
Each project receives a unique email address in the format:
{teamId}.{projectId}@mail.send.ai
Forward emails with attachments to this address to automatically create uploads and tasks for processing.
Email Security
Whitelist Configuration
Restrict email imports to specific domains or addresses for security:
- In Project Settings → Import, scroll to "Approved domains"
- Add email patterns:
user@company.com- Specific email address@company.com- Any address from domain*@company.com- Wildcard domain matching
Emails from non-whitelisted addresses are rejected and the sender receives a notification.
Email Processing Settings
Process Email Body
Setting: "Always turn email body into a separate task even when there are attachments"
When enabled, the email body content becomes an additional task alongside attachment processing. Useful for emails containing important contextual information or instructions.
Prepend Email Body
Setting: "Prepend email body to attachment content"
When enabled, email body text is added at the beginning of attachment content during processing. Combines email context with document content for enhanced extraction accuracy.
Max Emails in Thread
Setting: "Maximum number of emails in thread"
Limits how many emails from a thread are processed to prevent overwhelming the system with large email chains. Set to control processing volume and focus on recent communications.
Email Processing Flow
- Email Received - System validates sender against whitelist
- Upload Created - Email becomes an upload with attachments as individual tasks
- Content Processing - Attachments processed according to email settings
- Task Generation - Each attachment becomes a separate task in your project pipeline
Limitations
- Follows standard upload limits (40MB per file, 20MB per page)
- Only processes supported file types from attachments
- Email body processing requires explicit enablement
